1. Our Service Promise
At C7C Visa Bali, we are committed to providing transparent, professional, and diligent visa consulting services. Our core promise to every client includes an honest and thorough assessment of your eligibility for the desired Indonesian visa category, meticulous preparation of all required documentation, and the timely submission of your complete application to the relevant Indonesian government authority, typically Kantor Imigrasi (Immigration Office) or Kemenkumham (Ministry of Law and Human Rights). We meticulously review your documents and guide you through each step to ensure accuracy and compliance with current regulations. It is crucial to understand that while we strive for excellence in our service delivery, we cannot and do not promise government approval for any visa application. The ultimate decision to approve or reject a visa application rests solely with the Indonesian government authorities, based on their discretion, prevailing policies, and your individual circumstances. Our role is to facilitate your application process to the best of our ability, not to guarantee an outcome that is beyond our control.
2. Refund Eligibility
Our refund policy for agent fees is structured based on the stage of service delivery, reflecting the amount of work and resources expended by C7C Visa Bali. Please note that “agent fees” refer specifically to the service charges paid to C7C Visa Bali for our consulting and processing services, and do not include any government fees.

BEFORE we submit your application to Imigrasi: 80% refund of agent fees
If you decide to withdraw your application before C7C Visa Bali has officially submitted it to the Indonesian Immigration Office or Kemenkumham, you are eligible for an 80% refund of the agent fees paid. The remaining 20% is retained by C7C Visa Bali to cover administrative costs, initial consultation time, preliminary eligibility assessments, communication, file setup, and any initial document review or preparation work already undertaken by our team. This stage typically involves the collection of your personal documents and our internal review process before formal lodging.

AFTER submission to Imigrasi but BEFORE biometric/interview: 30% refund of agent fees
Should you choose to withdraw your application after C7C Visa Bali has officially submitted it to the Indonesian Immigration Office or Kemenkumham, but before you have completed any required biometric data collection or an interview with immigration officials, you are eligible for a 30% refund of the agent fees. At this stage, a significant portion of our service, including comprehensive documentation preparation, official submission, and initial follow-up with authorities, has already been completed. The 70% retained covers the substantial work involved in preparing and lodging your application with the government.

AFTER biometric/interview completed: 0% refund of agent fees
Once you have successfully completed your biometric data collection and/or interview with the Indonesian Immigration Office or Kemenkumham, our core service delivery is considered complete. At this point, C7C Visa Bali has fully discharged its responsibilities in facilitating your application process up to the government’s direct interaction with you. Consequently, no refund of agent fees will be issued under these circumstances, regardless of the final outcome of your visa application. Our work in preparing, submitting, and guiding you through the initial stages is concluded.
3. Government Fee Refunds
It is imperative to understand that any government fees (e.g., visa application fees, telex fees, stay permit fees, or other official charges) paid to the Indonesian Immigration Office (Kantor Imigrasi) or the Ministry of Law and Human Rights (Kemenkumham) are strictly NOT refundable under any circumstance. These fees are statutory charges levied by the Indonesian government for the processing of your application, regardless of the final decision. C7C Visa Bali acts solely as a pass-through agent for these fees, collecting them from you and remitting them directly to the government authorities on your behalf. Once these fees have been paid to the government, they are non-recoverable, as they cover the administrative costs incurred by the government for reviewing and processing your application. This policy applies even if your application is withdrawn, rejected, or if there are changes in your travel plans.
4. Application Rejection by Government
The outcome of a visa application is ultimately determined by the Indonesian government authorities. Our refund policy addresses rejections based on the cause of the rejection:

If Imigrasi rejects your application due to your eligibility or document issues: NOT eligible for refund.
Should your visa application be rejected by the Indonesian Immigration Office or Kemenkumham due to factors related to your personal eligibility (e.g., criminal record, previous overstay, failure to meet visa criteria, misrepresentation of facts) or issues with the documents you provided (e.g., incomplete personal documents, fraudulent documents, failure to provide requested additional information, or failure to attend biometrics/interview as instructed), you will not be eligible for a refund of C7C Visa Bali’s agent fees. Our service is based on the information and documents you provide, and we cannot be held responsible for personal circumstances or document deficiencies that lead to a government rejection. We rely on the accuracy and completeness of the information you furnish to us.

If rejection is due to OUR documentation error: 100% agent fee refund + assistance with re-submission.
In the rare event that your visa application is rejected by the Indonesian Immigration Office or Kemenkumham directly and demonstrably due to a verifiable documentation error made by C7C Visa Bali (e.g., incorrect form filling by our team, submission of an incorrect document that was our responsibility to provide, or a clear administrative oversight on our part), we will provide a full 100% refund of the agent fees you paid to us. Furthermore, C7C Visa Bali will offer comprehensive assistance with the re-submission of your application, free of any additional agent fees. Please note that any government fees for the re-submission would still need to be covered by the applicant, as these are statutory charges.
5. How to Request a Refund
To initiate a refund request, please follow these specific instructions carefully to ensure efficient processing:
You must send an email to sales@balipremiumtrip.com. The subject line of your email is critical for proper routing and should be formatted precisely as: “Refund Request — [Your Full Name] — [Your File Reference Number]”. Please replace “[Your Full Name]” with your complete name as it appears on your application and “[Your File Reference Number]” with the unique identifier provided to you by C7C Visa Bali when you engaged our services. In the body of your email, you must include the following essential information: the original engagement letter date, a clear description of the services that have been delivered to date (to your understanding), and a detailed reason for your refund request. Incomplete requests may lead to delays in processing. We commit to acknowledging receipt of your refund request and providing an initial response within 5 business days of receiving your complete email.
6. Refund Processing
Upon approval of a refund request, C7C Visa Bali will process the eligible refund within 30 business days. This timeframe allows for internal verification, financial reconciliation, and the necessary bank processing times. Refunds will be issued via the original payment method used for the initial transaction, wherever technically feasible. This may include a direct bank transfer to the account from which the payment originated, a credit card refund to the card used for the purchase, or through a Wise (formerly TransferWise) transfer for international payments. All refunds will be processed and disbursed in the same currency in which the original payment was received by C7C Visa Bali. Please be aware that any bank charges, currency conversion fees, or intermediary fees imposed by your bank or payment provider for receiving the refund are the sole responsibility of the recipient and will be deducted from the refunded amount, if applicable.
7. Disputes
In the event of any disagreement or dispute regarding our services or this refund policy, we strongly encourage open communication to reach an amicable resolution. The first step for any dispute is to formally communicate your concerns by sending an email to sales@balipremiumtrip.com, detailing the nature of your dispute. C7C Visa Bali commits to engaging in a good-faith attempt to resolve the matter directly with you within 14 business days of receiving your detailed dispute email. We believe that most issues can be resolved through direct dialogue and mutual understanding. However, if a resolution cannot be reached through this direct communication process within the stipulated 14-day period, any unresolved disputes shall be exclusively referred to and finally resolved by the Indonesian Court of Commerce (Pengadilan Niaga Denpasar), in accordance with the terms and conditions outlined in your service agreement with C7C Visa Bali. This ensures a clear legal framework for dispute resolution.
8. Force Majeure
C7C Visa Bali shall not be held liable for any failure or delay in performing its obligations under this policy if such failure or delay is caused by circumstances beyond our reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, natural disasters, epidemics, pandemics, or significant changes in government policy. Specifically, government policy changes that result in the temporary suspension, indefinite pause, or complete cancellation of specific visa categories, or changes in immigration regulations that impact application processing times or outcomes, do not trigger a refund of agent fees. Our service is considered delivered when we have prepared and submitted your application according to the prevailing regulations at the time of service, and the subsequent government decision or policy shift is an external factor beyond our control.
